How to merge two accounts in QuickBooks online

QuickBooks Online does not offer a direct feature to merge two accounts or companies. However, you can transfer data from one QuickBooks Online account to another by exporting data from one account and importing it into the other. This process can be somewhat complex and may not work for all data types, so it's essential to carefully plan and execute it. Here are the general steps:

Merging two accounts in QuickBooks online is not complicated if you follow this guide properly

  1. Back Up Your Data: Before you start, create a backup of all your data in both QuickBooks Online accounts. This is crucial in case anything goes wrong during the data transfer process.

  2. Export Data from the Source Account: To export data from the source account, you can use the built-in export feature or third-party tools like Transaction Pro Importer or Export My Data.

    • Go to the source QuickBooks Online account.
    • Export necessary data like lists (customers, vendors, chart of accounts, products/services) and transactions (invoices, bills, payments, etc.) using the available export options.
  3. Import Data into the Destination Account: In the destination QuickBooks Online account, you can use the imported data to recreate the information from the source account.

    • Go to the destination QuickBooks Online account.
    • Use the import feature to upload the data you exported from the source account. This may involve mapping data fields to the appropriate locations in the destination account.
  4. Review and Reconcile: After importing data into the destination account, review and reconcile it to ensure that all data has been accurately transferred. This step is critical for data accuracy.

  5. Closing the Source Account: Once you are satisfied that all data has been successfully transferred and reconciled, you can consider closing or discontinuing the source QuickBooks Online account. This typically involves canceling the subscription or stopping the billing.

Please note that this process can be time-consuming and may not work perfectly for all data types. It's recommended that you consult with a QuickBooks specialist or accountant to guide you through the process, especially if your accounts are complex or have a large volume of data.

Also, it's important to verify if QuickBooks Online has introduced any new features or changes in the data transfer process since my last update in September 2021. Always check the latest resources and QuickBooks support for any updates or changes to the software.
